Unique tools and features to create legal documents online, chop-chop

Providing useful content, information and short cuts to speed up and simplify document creation is a priority and focus at Cleardocs.  

We all know how easy it is to become familiar with a website.  When we get used to a website, we find ourselves using that site in repetitive ways:

Mouse hover.
Select option from menu.
Enter data.
Save.

We think we’re saving ourselves time by navigating through the site like we always have.  The problem with behaving this way is that we miss some of the newer features, designed to save time and make things easier. 

Below is the top seven Cleardocs features and tools most loved by our customers. I hope you find something to speed up your day.

1.    Copy and paste similar documents
Starting a new company registration, family trust or unit trust that is very similar to one you have already completed?  Look for the ‘copy and paste these answers’ link – you will find it in the ‘what’s next’ box of the completed document.

2.    Export your new company file into BGL CAS
If you use the BGL CAS corporate secretarial software for your company secretarial activities you can download the file directly from Cleardocs.  You will find the link in the ‘what’s next’ box of your completed company registration.

3.    Managing ‘My Documents’
If your document list is growing, remember to use the filter options at the top of the ‘My Documents’ page to quickly locate specific documents.  The filter allows you to search by status (pending, completed, lodged, rejected etc); document type; created date or by an answer you entered.

4.     SMSF version control
Unsure what your client’s SMSF deed allows or whether it should be updated?  Cleardocs tags every SMSF Deed, update or change of trustee with a version history.  Simply click on the version link and see at a glance what’s included in your client’s SMSF and what the most recent updates are.  You will also find this useful link in ‘My Documents’, next to the matter name.

5.    Multiple logins
If your firm has multiple users and you wish to consolidate your account, please contact the helpline and we can set it up for you.

6.     Macquarie CMA set up
If you’re setting up an SMSF and wish to open a Macquarie Cash Management Account, we have an integration that will reduce your data entry requirements and speed up the process.

7.     Frequently asked legal questions and ClearLaw
We regularly update the FALQs in response to feedback from our customers.  Our library is extensive and a quick search of these areas may provide the answer you are looking for.

Cleardocs and XPLAN interface integration speeds up document creation

It’s been a great start to 2015 with the roll out of the Cleardocs and XPLAN interface integration.  The integration is a good example of how we streamline and simplify processes for customers.
From version 2.14 of the XPLAN platform, users can setup Cleardocs as a legal document provider and create prefilled orders with their XPLAN client data.  Currently users are able to generate the following document packages:

  1. Company Registration (includes online registration with ASIC)
  2. Unit Trust –fixed
  3. Unit Trust- non-fixed
  4. Hybrid Trust 
  5. Discretionary (Family) Trust 
  6. Superannuation Trust (SMSF)

We understand that the security of your data is of concern, especially when data is being transferred between two systems.  We have made security a high priority in the development of this integration and put in place all the necessary measures to keep your data safe.

Fastest online company registration

You know, I'm curious about the fastest anyone has registered a company online through Cleardocs. Way back when we launched in 2002, one of our first customers set — what we reckon is — the record. But maybe someone has done it faster since, or will do it faster soon. Let us know if you do.

The speed we enabled was unusual in 2002. When Cleardocs launched, we were the first purely online company registration provider. Through Cleardocs, our customers could, for the first time anywhere:

  • log on,
  • answer the questions on our interface,
  • electronically lodge the application to register the company with ASIC, and
  • receive the ACN and all the legal documents immediately by email.

It was pretty exciting stuff. In 2002, none of our competitors could do anything like it. Even if they enabled you to order through their website, someone at their end had to do something manually to register your company. So if you wanted a company at 6.30pm (or am!), it was likely to be tough. But at Cleardocs.com, it didn't matter what time it was, or what day it was, you could register a brand new company. You still can — we have people ordering companies 24/7. If ASIC's site is open etc. (and it pretty much always is), then you can register a company through Cleardocs.

Anyway back in 2002, one of our very first customers who had done a few company registrations with Cleardocs rang to say she wanted to know what the record was for the fastest company. Her name is Janette Boluch. I just spoke to her a few minutes ago. In 2002, she worked at Manning & Perry, now she is with Chris Wilson and Associates in Hawthorn in Melbourne. And she still uses Cleardocs. Thank you, Janette!

We reckon Janette still holds the record for:

"An Australian company registration through Cleardocs — from logging on, through answering all the questions, to getting the response from ASIC that the company is registered with an ACN."
